Archiving

Introduction

SurveyOptic has pages for all of the surveys, templates, dashboards, audiences and messages created within the platform. Over time the items on these pages will often grow. The SurveyOptic archive feature helps users focus on current items whilst safely keeping other items in a secure and searchable archive, ready to reference or re-use at any time.

Archive (surveys)

When a survey is no longer required to be shown or interacted with (for example all reporting has been completed) you may wish to “archive” the survey. Doing so will label the survey as archived and hide it from view on the surveys page. This is an effective way of keeping the surveys page tidy, ensuring only current surveys are shown. Archived surveys retain all of their data and can generate reports as normal. Archived surveys can be searched for and viewed by selecting the “archived” view. This view will display only archived surveys. In this view search and tag filters can be applied as normal. This filter can be cleared using the “clear filter” button to the right of the “archived” button. Archived surveys are permission controlled in the same way as non-archived surveys.

Select [archive] on the survey tile to archive the survey. Select [unarchive] to unarchive a survey (additionally an undo button will appear immediately after archiving if you wish to undo the action).

Archive (templates)

In a similar way, Templates can be archived to declutter the Templates page and manage large template libraries. Archived templates can be found by selecting the archived view on the templates page which can be searched and filtered as normal.

Select [archive] on the template tile to archive the template. Select [unarchive] to unarchive a template (additionally an undo button will appear immediately after archiving if you wish to undo the action).

Wizard suppression

Archiving a Template also supresses the public wizard pages (if configured). Archived templates will no longer show a "Start" button on public wizard pages, and can display a custom holding message.

Archive (dashboards)

In a similar way, Dashboards can be archived to declutter the Dashboards page. Archived Dashboards can be found by selecting the archived view on the Dashboards page which can be searched and filtered as normal.

Select [archive] on the dashboard tile to archive the dashboard. Select [unarchive] to unarchive a dashboard (additionally an undo button will appear immediately after archiving if you wish to undo the action).

Archive (audiences)

In a similar way, Audiences can be archived to declutter the Audiences page. Archived Audiences can be found by selecting the archived view on the Audiences page which can be searched and filtered as normal.

Select [archive] on the audience tile to archive the audience. Select [unarchive] to unarchive a audience (additionally an undo button will appear immediately after archiving if you wish to undo the action).

Archive (messages)

The same features are also available for messages within audiences and standalone messages.

Note - Copying from archived items 

Copying an archived survey, template or dashboard creates the new item in an archived state.
