This is the privacy policy for the SurveyOptic marketing site (surveyoptic.com), operated by SocialOptic Ltd, and for contacts via social channels, including LinkedIn and Facebook.

SocialOptic Ltd is the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR). Your privacy is our responsibility, and protecting your personal data is a core value of the SocialOptic team.

The type of personal information we collect

We collect personal data only where necessary. We currently collect and process the following information:

  • Your name and email address, and optionally your phone number, if you use our contact form or chat functionality.
  • IP Address and web browser details, in server logs.

We do not use cookies, other than functional cookies (for example to preserve your session or login), and we do not use ad trackers on our websites.

How we get the personal information and why we have it

The personal information we process is provided to us directly by you for:

  • Responding to enquiries.
  • Supplying details of our services.
  • Supporting you in the use of our services.

We also receive personal information indirectly when you use our live chat or phone services:

IP Address, web browser, and web browsing information is processed by the following processors:

  • Microsoft (Azure) – who operate and host this server.

We use the information you provide to:

  • Contact you, where you have asked us to.
  • Deliver and support our services.
  • Improve our website and services.

We do not share your personal data with third parties, except for our processors listed above. We do not carry out any automated decision-making or profiling.

Under the UK General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  • Consent – for analytics and optional communications.
  • Contractual obligation – when providing services you have requested.
  • Legal obligation – where required by law (e.g. for law enforcement).
  • Legitimate interests – for basic website functionality and security (e.g. server logs).

How we store your personal information

Your information is securely stored on servers in the UK and the USA. If you are not a customer or user of our services, we keep your information for no longer than 24 months, after which time your data is securely erased.

We review this notice at least once every 12 months, and it was last reviewed on the 28th of August 2025. Updates will be published to this site.
