Most teams stitch this together from a consumer survey tool, spreadsheets, slide decks and an outside agency — and pay more every time response numbers rise. SurveyOptic replaces that with one secure, dedicated instance where collection, analysis, reporting and action planning happen in one place, backed by a UK team that is included in the price.

How pricing works

SurveyOptic is priced as an annual subscription for your organisation's instance. The price is based on three things:

One

Your team.

The number of licensed users who build surveys and work with results. Administrators can reallocate licences at any time. Respondents are never counted.

Two

Advanced modules.

The core platform is complete on its own. Some advanced modules — such as Dashboards, the Results Portal or Audiences — are added as your programmes grow.

Three

Your service model.

Self-service: your team runs everything on the platform. Fully managed: our team designs, runs and reports for you, concierge-style. On-demand: self-service, with our experts on call when you want them.

Ways to buy

SurveyOptic is available through established public-sector routes, so most organisations can buy without running a full tender.

Route 1

G-Cloud.

SurveyOptic is listed on the Digital Marketplace under the G-Cloud framework (RM1557.14). Direct award is permitted, suppliers are pre-vetted and standard call-off terms apply, so no full competitive tender is required.

Route 2

NHS Shared Business Services.

SocialOptic is a named supplier on the NHS Shared Business Services Patient/Citizen Communication, Engagement and Hybrid Mail Solutions framework (SBS10521). For NHS trusts and integrated care boards this is often the most straightforward route.

Route 3

Low-value direct award.

For lower-value requirements, public bodies can buy SurveyOptic directly under their own procurement rules, or through the Low Value Procurement System (RM6237). The notifiable below-threshold figure is £12,000 including VAT for central government and £30,000 including VAT for sub-central authorities such as local government.

Route 4

Direct contract.

Enterprise, education and third-sector customers contract with SocialOptic directly, without a framework.

Your data, in your own instance.

Every customer has a dedicated SurveyOptic instance with its own database — no shared data stores. Control who sees personal data, responses and aggregate results separately, enforce two-factor authentication, and set minimum reporting thresholds to protect anonymity. When a contract ends, your data is returned and deleted cleanly, with a certificate of destruction.

Pricing questions.

How is SurveyOptic priced?

SurveyOptic is priced as an annual subscription for your organisation's own instance. The price is based on three things: the number of licensed users who build surveys and work with results, any advanced modules you switch on, and your service model — self-service, fully managed or on-demand support. It is never based on how many responses you collect.

Do you charge per response or per survey?

No. There are no per-response, per-survey or per-question charges. The number of responses, the number of surveys, the number of questions and sudden surges in response volume never change the price. You never pay extra for extra responses, and we will never lock you out of your own responses because you reached a number.

What is included in the price?

Every subscription includes instance setup and branding, onboarding and live training, automated migration of existing surveys and templates, a UK helpdesk open 8am–5pm on weekdays, a named account manager, and continuous releases with no maintenance windows.

Do you charge extra for support or training?

No. Support is not a tier. Onboarding, live training, the UK helpdesk and a named account manager are included for every customer.

Can we add users or modules part-way through a contract?

Administrators can reallocate licences between people at any time, so a licence follows the work rather than the person. For a change to your overall number of licensed users, or to the modules switched on for your instance, talk to your named account manager — or ask us in your demo.

Can we buy through G-Cloud or an NHS framework?

Yes. SurveyOptic is listed on the Digital Marketplace under the G-Cloud framework (RM1557.14), where direct award is permitted, and SocialOptic is a named supplier on the NHS Shared Business Services framework SBS10521. Lower-value requirements can be bought directly under public bodies' own procurement rules or the Low Value Procurement System (RM6237), and enterprise, education and third-sector customers can contract with us directly.

Is there a minimum contract term?

SurveyOptic is priced as an annual subscription. We will agree a term that suits your organisation — ask us in your demo.

Can you run the survey for us?

Yes. Fully managed is one of our three service models: our team designs, runs and reports for you, concierge-style. You can also choose on-demand support, where your team runs the programme and calls on our experts when you want them, or self-service, where your team runs everything on the platform.

Where is our data held, and what happens to it when we leave?

Every customer has a dedicated SurveyOptic instance with its own database, held in the UK in Microsoft Azure's UK South and UK West regions. When a contract ends, your data is returned and deleted cleanly, with a certificate of destruction.

Do you offer a free trial?

We do not offer a self-serve trial. We set up a guided demo instead, so you see SurveyOptic working against your own use case rather than a sample survey.
